Booking terms & cancellation policy

These terms apply to every tour, class and workshop booked through asukastour.com (the “site”), which is operated by Aska’s Tour (“we”, “us”). By making a booking you agree to them. Please also read our Privacy Policy and Legal Notice.

1. Bookings and payment

Bookings are made through the booking form on the site and paid by credit card at the time of booking. Payments are processed by Stripe on Stripe’s secure page; we never see or store your card number.
All prices are in Japanese yen and include tax. The price you pay is the price shown on the tour or class page at the time of booking.
Your booking is confirmed when you receive our confirmation email. It is valid only for the tour or class, date, start time and number of people stated in that email.
If you do not receive a confirmation email within a few minutes, please check your spam folder and then contact us at asukastour@gmail.com.

2. Cancellation and refunds

To cancel, email asukastour@gmail.com from the address you booked with. The time we receive your email counts as the cancellation time (Japan Standard Time).

E-bike tours and walking tours

More than 3 days before the start time: full refund
Within 72 hours of the start time: 50% refund
Within 24 hours of the start time, or no-show: no refund

Yoga and Pilates classes, and workshops

More than 24 hours before the start time: full refund
Within 24 hours of the start time, or no-show: no refund

If we cancel (weather, safety, illness of the guide or other reasons on our side), you receive a full refund or, if you prefer, a new date. Refunds go back to the card you paid with; depending on your card issuer they can take 5–10 business days to appear.

3. Changes to your booking

Requests to change the date, start time or number of people are handled by email and depend on availability. A date change requested inside the cancellation window above may be treated as a cancellation and a new booking.

4. Weather and safety

Tours go ahead in light rain — raincoats are provided on e-bike tours, and an umbrella or raincoat is recommended on the walking tour. In heavy rain, typhoon warnings or other unsafe conditions we may shorten or change the route, or cancel with a full refund or a new date. Your guide’s instructions on safety must be followed at all times.

5. Taking part

E-bike tours: you must be able to ride a bicycle and follow Japanese traffic rules. Please do not drink alcohol before or during the tour.
Please check the “not suitable for” and age information on each tour or class page before booking, and tell us in the booking message about any health condition, injury or pregnancy that may affect your participation.
You are responsible for damage to rental equipment (such as mats and tools) caused by misuse.
We may refuse or end participation without a refund if a participant endangers themselves or others, or does not follow the guide’s instructions.

6. Liability

We take reasonable care to run every tour and class safely. To the extent permitted by Japanese law, we are not liable for loss, injury or damage that is not caused by our negligence, including delays or changes caused by weather, traffic, public transport or other events outside our control. We recommend travel insurance that covers outdoor activities.

7. Photos

We sometimes take photos and short videos during tours and classes for our website and social media. If you prefer not to appear, just tell your guide — no problem at all.

8. Personal information

We handle your personal information as described in our Privacy Policy.

9. Governing law

These terms are governed by the laws of Japan. Any dispute will be settled in the Kyoto District Court as the court of first instance with exclusive jurisdiction. Where Japanese consumer protection law gives you rights that differ from this text, the law applies.
