How we handle your personal information

Aska’s Tour (“we”) respects your privacy. This policy explains what information we collect when you visit asukastour.com or book with us, how we use it, and the choices you have. It follows Japan’s Act on the Protection of Personal Information.

What we collect

Booking details you enter in the booking form: name, email address, phone number (optional), the tour or class, date, start time, number of people and your message.
Payment information. Your card details are entered on Stripe’s secure payment page and processed by Stripe. We receive only a confirmation of the payment, the amount and the booking details — never your full card number.
Emails you send us.
Technical information collected automatically when you visit the site, such as IP address, browser type and the pages you view (see “Cookies and analytics”).

How we use it

To process, confirm and manage your booking, including sending confirmation emails and contacting you about changes, weather or safety.
To answer your questions and requests.
To keep the records required by Japanese tax and accounting law.
To improve the site.

We do not send marketing emails unless you ask for them, and we never sell your personal information.

Who we share it with

Stripe (Stripe, Inc. and Stripe Japan) — payment processing. Stripe’s handling of your data is described in Stripe’s privacy policy.
Our partners, only as far as needed to run your booking: Sunny Cycle Gojo (e-bike rental for the e-bike tours) and smoky studio -yoga- (venue of the yoga, Pilates and kintsugi sessions) — normally just the number of participants and the start time, and your name where a reservation requires it.
WordPress.com (Automattic Inc.), which hosts the site and delivers our emails.

We may also disclose information when required by law or to protect the safety of participants.

International transfers

Stripe and Automattic process data on servers outside Japan, including in the United States, under their own safeguards.

How long we keep it

Booking and payment records are kept for as long as needed to run the booking and to meet legal record-keeping obligations (normally 7 years for accounting records), then deleted or anonymised. Emails and messages are kept as long as needed to help you.

Cookies and analytics

The site is hosted on WordPress.com, which sets technical cookies and collects standard, anonymous visitor statistics. Stripe sets cookies on its payment page to prevent fraud. We do not use advertising cookies. You can block cookies in your browser; the booking form and the payment page may not work without them.

Your rights

You can ask us to show, correct or delete the personal information we hold about you, or to stop using it, by emailing asukastour@gmail.com. We will respond within a reasonable time. Records we must keep by law can only be deleted once the retention period ends.

Children

Bookings are made by adults. If a booking includes a child, the parent or guardian provides the information on the child’s behalf.

Changes to this policy

We may update this policy from time to time; the date at the top shows the latest version.
